How we handle your information.

1. Who we are

Roofing All Stars LLC(“Roofing All Stars,” “we”) is the data controller for this site. Business Logistics LLC operates the technology that powers our website, AI receptionist, and customer dashboard as a service provider/processor on our behalf.

2. Information we collect

  • Name, phone, email, service address, message/notes you submit through forms.
  • Call audio + transcripts of conversations with our AI receptionist.
  • Photographs of completed work on your property (with your consent — see §4).
  • Job, estimate, invoice, and payment records.
  • Standard website analytics (pages viewed, approximate location, device type) — only if you accept cookies (see §7).

3. How we use it

  • To respond to estimate requests and schedule and perform roofing work.
  • To send service-related SMS, email, and calls about your project.
  • To improve our service and train our crew.
  • For advertising and audience-matching (see §7).

4. AI assistant + call recording

Calls to our published number are answered by an automated AI assistant. Calls may be recorded and transcribed to help schedule and improve service. Arizona is a one-party-consent state (A.R.S. §13-3005); by continuing the call after our disclosure you consent to recording.

If you are a returning customer, the assistant may recall prior job and contact history to help you faster. We verify identity (name + service address on file) before reading back account details.

Job photos are only published to our marketing channels after you sign an explicit photo-use consent.

5. SMS program disclosure

By providing your phone number on our forms you consent to receive SMS related to your request, including automated/AI-assisted texts. Consent to texts is not a condition of purchase. Message frequency varies; message and data rates may apply. Reply STOP to opt out or HELP for help at any time. See our SMS Terms.

6. Third-party processors

We rely on the following service providers to operate:

  • Vapi.ai — telephony, AI voice orchestration.
  • Twilio — outbound and inbound SMS.
  • Anthropic — the underlying AI model (Claude) for our voice assistant and in-dashboard tools. Anthropic does not train on the prompts or responses; our direct dashboard requests additionally run under zero-data-retention, and the voice model is reached through Vapi under Anthropic’s standard commercial terms with only transient safety retention.
  • Resend — delivery of transactional emails to you (quote acknowledgments, appointment confirmations, and invoices).
  • OpenRouter — model routing for our website chat assistant. Chat messages may include details you type; we use them only to answer you, never sell them, and retain them under §8.
  • Neon — managed database that stores our CRM, estimate, scheduling, and invoicing records.
  • Meta — advertising and custom/lookalike audience matching.
  • Google — Business Profile, Local Services Ads, Calendar.
  • Vercel — website and dashboard hosting.
  • Qdrant — search index for returning-caller recall.

7. Cookies, advertising & audience matching

This site does not load Google Analytics or the Meta Pixel until you accept cookies via the banner shown on your first visit. If you decline, no analytics or advertising cookies are set. You can change your choice anytime via the “Cookie settings” link in the footer or by clearing cookies in your browser. Essential features (forms, calls, scheduling) work regardless of your choice.

We may upload hashed (SHA-256) versions of your contact information to Meta to build custom and lookalike audiences for advertising. Raw email addresses, phone numbers, and names are never sent in clear text; values are normalized and hashed before transmission. To stop the on-site advertising pixel, use the “Cookie settings”link in the footer at any time. To opt out of the audience-matching “share” described here, call us or use the form on our Contact page (see §10).

8. Data retention & deletion

We retain lead and customer records while you are an active or prospective customer and for up to 7 years after our last interaction (consistent with Arizona contractor record-keeping and tax norms). Call audio and transcripts are retained for 24 months. You may request earlier deletion at any time using the contact below.

9. Your rights

You have the right to ask what personal information we hold about you, to correct it, and to request deletion. California residents additionally have the rights to know, delete, correct, and opt out of the sale or sharingof personal information under the CCPA/CPRA. Meta audience matching may qualify as a “share” under CPRA; to opt out of that sharing, use the “Cookie settings” link in the footer (on-site pixel) and the phone or Contact form in §10 (offline audience upload).
